The reason you have two files is the way the file is converted and saved by Google. The only reason people are using Google is that it takes the place of a file server on the local network.

The cloud and Google are dangerous, keep your data local and safe away from the cloud. Google is just moving in on Microsoft territory copying their layout standards that have been around forever and they are not as good at office file computing and sharing as Microsoft.
